What Type of Copies Can I Request?

You can request regular/photocopies, certified, or exemplified copies of documents from the Probate Court.

What is a Regular/Photocopy?

A regular/photocopy is just a duplicate copy of the original document with no certification by the Probate Court. You can also print a duplicate copy by using the web docket to search your case number and view the image with the associated docket entry.

What is a Certified Copy?

A certified copy is a copy of an original document that has an endorsement or certificate by a Clerk certifying and swearing it to be true in writing that it is a true copy of the original document. It does not certify that the document is genuine, only that it is an accurate copy of the original document. Copies of certified copies can include, but are not limited to, Letters of Authority or judgment entries.

What is an Exemplified Copy?

An exemplified copy is a copy of a document with a triple certification which attests to the authenticity and validity of the Court record. The Ex-Officio Clerk and Presiding Judge certify, affixing with a Court seal, that the document is a true copy of the original document. Exemplified copies are different than certified copies, as exemplified copies of Court documents can only be made and attested to by the Ex-Officio Clerk and Presiding Judge of the Probate Court.

Please note: the triple certification must be included with the exemplified record. The triple certification is $2.00 per page and will be a minimum of $6.00.

How do I Order Regular/Photocopy, Certified, or Exemplified Copies of a Docket Entry?

If you do not need a full case copy, you may come in-person or mail in a completed Copy Request Form for certified, exemplified, or photocopy copy requests.

Please note: This form cannot be used to request a copy of your Marriage License. To obtain a certified copy of your Marriage License, please complete the Certified Copy of Marriage License Request Form which can be found on our website.

If you mail in a completed Copy Request Form, please include a self-addressed, stamped envelope with your request and send this completed form to:

If you do not include a self-addressed, stamped envelope with your request, your request may be returned to you or you may be responsible for the cost of mailing.

What is the Cost?

Regular/Photocopy Copies*
$2.00 + 10¢ per page after 20 pages
Certified Copies
$2.00 per page
Exemplified Copies
$2.00 per page + triple certification
Full Case Copies
$10.00

*For regular/photocopy copy requests:

If the request is 19 pages or less, the fee will be $2.00.
If the request is 20 pages or more, the fee will be $2.00 plus 10 cents per page after 20 pages.

For older cases that are on microfilm, the Court will determine the number of pages included in your request. Therefore, please do not include payment as you will be contacted by the Court to pay over the phone or have an updated cost confirmation e-mail once the request has been reviewed.

The Court accepts payment by credit card, cashier’s check, money order, or cash. (Personal Checks are NOT accepted). Please include a cashier’s check or money order made payable to the Cuyahoga County Probate Court for the total amount due.

How do I Order a Full Case Copy?

Full case copies can be requested on Adversarial, Estate, Guardianship, Civil Actions and Trust cases by using the web docket to search your case number and then request copies using the Request Full Case Copy link on the case summary page.

Where Can I Obtain a Certified Copy of My Marriage License/Certificate?

To obtain a certified copy of your Marriage License the Court needs to know the first and last names of both applicants, including the maiden or name prior to marriage, and the date of marriage. (If the exact date is not known, give an approximate year.)

Copies can be requested online for Marriage Licenses that have been returned and recorded. Please use the web docket to search your case number and then request copies using the Request Full Case Copy link on the case summary page.

Requests by Mail

Please see the new certified copies request form, now available online. Use this form to submit requests for certified copies of your marriage license.

The cost of each certified copy is $2.00. You may request copies by mail. Please enclose a self addressed stamped envelope with money order or cashier's check made payable to:

Due to the new BMV rules there is a two (2) week turnaround time to obtain your marriage license by mail.
